IEP Data Update
Hello everyone,
We have some exciting news to share regarding your turnaround roster process!
We’ve discovered a new “Submit” button in Embrace that will replace the Google Form and Roster Change Link we’ve used for the past several years. Once you update an IEP in Embrace, simply click the submit button and an automatic email will be sent directly to rosters@eiase.com. This means no additional data entry and no separate Google Form to complete.
That’s right—no more Google Form and no more turnaround rosters! As long as you are keeping your Embrace data up to date, that’s all that’s needed.
Although this process will save you a lot of time, it’s crucial that we collect the appropriate data. We are relying on you heavily to make sure your Embrace records are completed so we aren’t searching for necessary information.
Our goal is always to find ways to make processes easier and more efficient for you. We hope this change helps streamline your workflow, reduces duplicate tasks, and gives you more time to focus on supporting students and doing the work you enjoy most.
This is what we need from you to make this process go as smoothly as possible:
Send us your new roster for the year at rosters@eiase.com. This way we have students paired with the correct case manager right off the bat.
Check your Embrace data. Be sure to make sure all information on the student record page is filled in and updated. A guide will follow with what is mandatory for data collection, and what is as needed.
Upload signed Medicaid forms, and update the date they were signed, as well as if consent was given or not.
Keep the student record page in Embrace as up to date as possible.
Don't forget about students that are having evaluations done, and are ineligible. We have to track this data too, so make sure you are keeping it accurate in Embrace both in the IEP and on their student record.
If you are an admin, double check your districts student list. Embrace holds a lot of student data, and we are finding a lot of it is General Education students, or students that have graduated years ago. We try to help clean this up, but your district knows your students best! Please help us in getting good clean data.
Be patient with us. We will be with you as well! This is a big change, but we are so excited to see how much easier this makes everyone's lives. We will have some bumps in the road along the way, but in the end we will get there.
